This policy explains how Belfast Whiskey Week collects and uses personal information when you visit belfastwhiskeyweek.com, buy or claim tickets, use the ticket portal at bwwticket.com, or hear from us by email.

Who we are

Belfast Whiskey Week, Unit A1.16, Portview Trade Centre, Newtownards Road, Belfast BT4 1HE, is the controller of your personal data. Contact us at enquires@belfastwhiskeyweek.com about anything in this policy.

What we collect

  • Ticket orders: your name, email, phone number and billing details when you buy through our Shopify store. Payments are handled by our payment providers; we never see your full card details.
  • Ticket holders: names, emails, phone numbers and notes (for example dietary or accessibility needs) that you add for your guests in the ticket portal.
  • Free student tickets: your name, student email, university or college, sports club and team name. If you add teammates, we collect the first name and student email you give us for each of them.
  • Sign-in and check-in: one-time sign-in codes (stored in scrambled form), sign-in sessions, and when your ticket was scanned at the door.
  • Tasting notes: ratings, notes and photos you choose to post in the ticket portal, and whether you've shared them to the group feed.
  • Email preferences: whether you've agreed to marketing, and basic engagement with our emails (such as opens and clicks).
  • Website data: cookies and similar technologies used by our Shopify store, as described in the cookie banner.

How we use it, and our lawful basis

  • To provide your tickets and run the events: issuing tickets, the ticket portal, door check-in, and emails about your ticket (confirmation, claim links, reminders and changes). Lawful basis: performing our contract with you.
  • To keep things fair and safe: preventing fake or duplicate registrations and misuse, and confirming age and student status at the door. Lawful basis: our legitimate interests.
  • Marketing emails about events and offers, only if you've opted in. Lawful basis: your consent, which you can withdraw at any time using the unsubscribe link.
  • Accounts and legal requirements: keeping order records for tax and accounting. Lawful basis: legal obligation.

Teammate invites

If a friend adds you as a teammate, we use your first name and student email to send you an invite and, if you haven't claimed it, one reminder. If you don't claim your place, we delete your details after the event.

Who we share it with

We don't sell your data. We use trusted service providers who process it for us:

  • Shopify — our online store and order records
  • Fly.io — hosting for our ticket portal and ticket database
  • Cloudflare — network security and protection for bwwticket.com
  • Resend — sending ticket and sign-in emails
  • Klaviyo — email lists and marketing emails

We may share attendee names with event venues where needed to run an event, and we'll disclose information where the law requires it.

Some of these providers process data outside the UK, including in the United States. Where they do, the transfer is protected by appropriate safeguards such as the UK International Data Transfer Agreement or Addendum, or the UK–US data bridge.

How long we keep it

  • Order records: six years, for accounting and tax.
  • Tickets, ticket holder details, student registrations and check-in records: deleted or anonymised within 12 months of the event.
  • Unclaimed teammate invites: deleted after the event.
  • Marketing preferences: until you unsubscribe or ask us to delete them.
  • Tasting notes and photos: until you or we remove them.

Your rights

You can ask us to access, correct, delete, restrict or transfer your personal data, and you can object to how we use it or withdraw consent at any time. Email enquires@belfastwhiskeyweek.com. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.

We'll update this page if anything changes and show the date at the top.
